Process recording using the brown paper method

For efficient collaboration, it is essential to know the actual processes in your own company. Based on the actual processes, these can be further developed and optimization potential exploited. Advancing digitalization also requires companies and authorities to continuously adapt their workflows.

The basis for successful digitalization projects is a detailed knowledge of the existing processes, for example through a process analysis. Our proven method for process mapping, the “brown paper workshop”, offers a results-oriented approach to record your processes and then analyze and optimize them in the second step.

Why using the brown paper method?

The brown paper method is a tried-and-tested workshop method in which the people involved in the process work together on an image of the process, which is presented on the “brown paper”. This interactive approach not only creates a detailed picture of the process, but also a common basis for optimization.

The Brown Paper Method in Practice

Our project team has extensive experience in the implementation of workshop series in various industries. A significant example of this is our collaboration with a leading automobile manufacturer. In this project, we were commissioned to conduct a series of workshops to record and optimize processes in the production environment. The main objective was to increase the in-house planning depth for future product generations and to cover the increased personnel requirements.

Before the start of the workshop series, we clarified all organizational aspects in close consultation with the customer. In a total of 14 interactive workshops, not only 12 actual processes but also 12 target processes were developed. During these workshops, a live modeling of the processes took place, in which the process steps, roles and interfaces were discussed and recorded step by step.

Our method integrated the development of the processes in collaboration with experts from various departments and the use of an internal modeling tool. This combination enabled the step-by-step presentation of all parallelized processes and dependencies. Once the workshops were completed, the processes developed were documented in the internal modeling tool. The result was 24 precisely modelled production processes that contained clear starting points for process optimization.
