What is process mining and how does it work?

Process mining is a method for the continuous improvement of business processes. With the help of process mining, waste, for example in the form of money, time or labour, can be made visible. The transparency gained helps to optimise or even automate existing processes and can therefore increase the efficiency of operating procedures.

Process mining technology also provides support after processes have been adapted by making the results of improvements visible and enabling processes to be easily monitored and controlled.

How process mining works

Process mining software uses event data from an organisation's IT landscape to capture processes. This event data is generated or collected by IT systems and is available in the form of digital footprints. This involves information such as time stamps, activities or case IDs, from which insights are automatically extracted. Process mining for the process optimisation of a rollout project

Scope of commission

Our client from the automotive industry needed support to further develop a multi-year software rollout and to simplify and automate the associated KPI reporting. As part of the assignment, two experienced LEITWERK consultants supported the client's programme team.

Initial situation

The aim of our customer was to ensure future viability in terms of delivery capability and buildability in the event of technical changes as part of a large-scale programme. To this end, new processes were set up and a new system rolled out. This had an impact on working methods in large parts of the organisation.

Solution approach

With the help of KPI reporting and the use of process mining, we were able to involve all those responsible in the various departments and offer them full transparency. This was a decisive success factor for the sustainable rollout and efficient process management for utilising the new systems. A gateway-controlled rollout procedure was combined with regular KPI reporting and monitored and controlled using tools and systems.

Results

Using analyses within the tool, we were able to carry out quick analyses based on current data and create customised dashboards. On this basis, we derived measures that simplified the rollout and brought about process improvements.

The silo mentality that prevailed in projects in the past was broken down by specific cross-programme rollout standards and measures. The overarching rollout and process management relieved the projects, increased process quality and ultimately satisfied the users.
